Communications & Administrative Coordinator

Location: Remote (with occasional in-person meetings or events)
Type: Full-Time
Reports to: Executive Director

Overview: Trees for Life is a national charity committed to planting trees where Canadians live, work, and play. We are currently seeking a creative, organized, and detail-oriented Communications & Administrative Coordinator to support our marketing, communications, and operations. This is a unique opportunity to contribute to a growing organization that is transforming landscapes and building a greener future through collaborative tree planting projects - including our Heroes Forests, which honour Canadian heroes through dedicated plantings.

Key Responsibilities:

Marketing & Communications:

  • Create promotional materials (e.g. one-pagers, flyers, posters) based on content provided by program and partnership teams.

  • Ensure all communications reflect a clear, consistent message about Trees for Life’s mission and values, with an emphasis on the Heroes Forests initiative.

  • Act as a brand ambassador: ensure consistent visual identity across all platforms and materials (logo use, tone, colours, etc.).

  • Write and edit content for promotional use and donor communications.

  • Support the coordination and execution of the Year in Review publication and Case for Support (gather content, organize drafts, and coordinate with the graphic designer).

  • Assist with visual storytelling by selecting strong images and developing branded visuals that reflect the Trees for Life identity.

  • Coordinate branded apparel production and sales with vendors, ensuring consistency in branding and ease of purchase.

  • Provide briefings to the public relations agency for crafting media relations media.

Administrative Support:

  • Provide administrative support to fundraising, communications, and partnership development teams e.g., research prospective donor/partner, polishing reports, pitches and proposals.

  • Assist with the preparation and mailing of letters and packages, including support for the annual mass mailing (Fall).

  • Book venues and coordinate logistics for meetings, meals, and events.

  • Provide event support: print signage, coordinate food and beverage, assist on-site as needed.

  • Take meeting minutes for select Trees for Life meetings and all Board of Directors meetings.

  • Manage print requests and oversee production timelines.

  • Track projects and tasks using shared tools; maintain and organize the Shared Drive.

  • Monitor voicemail and direct messages appropriately.

  • Manage the info@treesforlife.ca inbox.

  • Track deadlines for grants, insurance renewals, and key internal processes.

  • Take on additional administrative tasks as needed.

Qualifications & Skills:

  • 3 – 5 years of relevant experience in a similar role that combines:

    • Communications or marketing (writing, editing, layout, design coordination)

    • Administrative support (proficiency in MS Office)

    • Event support and logistics

    • Brand consistency/implementation, promotional materials

  • Excellent writing and editing skills (required). 

  • Design/layout experience is an asset (e.g., Canva, Adobe InDesign)

  • Strong attention to detail and organizational skills

  • Experience with content coordination and visual brand development

  • Comfort with administrative tasks and multitasking across teams

  • Familiarity with file organization systems (e.g., Google Drive, SharePoint)

  • Experience working or volunteering in a non-profit or environmental organization is an asset

Salary & Benefits:

  • Competitive salary – range $55,000 to $60,000, depending on experience

  • Paid vacation

  • Remote work with in-person meetings and events

  • Occasional travel
